Procedures & Policies


Welcome to Albright College Catering Services. Our goal is to provide the highest-quality service to the faculty, staff, students and guests of Albright College. We are here to help you plan every detail, from the menu to food production. Our expert staff will help you arrange a variety of events, from a simple breakfast to an elegant dinner.

All catered events on campus must be coordinated through Albright Catering.


PLANNING YOUR EVENT

Catering requests may be submitted via e-mail to www.albright.edu/services. Go to the Dining Service category and click on “Catering Request Form.”  The entire request form must be completed for your request to be fulfilled.

Contact the Catering Manager at 610-921-7606 or the Dining Service Office at 610-921-7525 to make your catering requests and arrangements. These requests should be made Monday – Friday, 8 a.m. to 4:30 p.m.

To guarantee that your event will be successful, please provide a minimum of 10 business days prior to your event to assure that production and scheduling arrangements can be made.

If booking less than 10 days prior to your event, please contact the Catering Office to review labor and/or menu availability. Some items on the menu may need more advance notice and may be substituted.

SCHEDULING ROOM

  • If your event is on Campus, it is necessary to first reserve a room with the Conference Office at http://admin.albright.edu/confmain.php. Or call extension 7612 for the Director of Conferences.
  • All requests to use Jakes Place, Jakes Java or the Dining Room, must be submitted to the Director of Dining Services at extension 7525.
  • All students requesting room space must contact the Director of Student Activities and/or go online to https://www.albright.edu/studentlife/activ-form.html.
  • All arrangements for tables, chairs, public address systems, and other audio/visual equipment must be submitted to the Facilities Department. Use request form: http://www.albright.edu/facilities/

Types of Service Available

Albright catering is a full service department. It is our goal to make your event successful. We realize the budget impact that events can cause. Please refer to the list below to help plan your next event.

  • Full Service
    Food Service will manage the event from setup through cleanup. China or upscale plastic ware will be used.
  • Setup and Cleanup
    Food Service will set up and deliver food and clean up the event at its conclusion. Upscale plastic ware will ordinarily be used.
  • Setup Only
    Food Service will set up the event and deliver food. No cleanup is required. Only disposables and upscale plastic ware can be used.
  • Self-Service/Pickup Service
    Self-catering service is a less-expensive alternative to delivery service. You may make arrangements for pickup at the Albright Catering Office at the rear of the Dining Hall kitchen (extension 7525).

Linen and Skirting

All linen and skirting must be ordered through Food Service. This includes all meetings and display, name tag and greeting tables, even if food service is not required. To place linen orders please call extension 7606. Please have the 17-digit account number available for billing.


Pricing and Food Substitution

Pricing will be based on current published pricing guidelines. Food is a commodity and is subject to market conditions.

Prices are subject to change in the following circumstances:

  • Events with fewer than 20 people
  • Events held on weekends
  • Events held off campus
  • Events held at nonscheduled times throughout the year. Scheduled times are defined as those periods when the College is in academic operation.
  • Events held in the Dining Hall during periods of scheduled food service operations
  • Customized menus
  • Equipment rental
  • Additional staffing needs other than standard student wait staff allotments, such as cooks, carvers, professional wait staff and valets
    • Student labor $7.25 per Hour
    • Professional Staff $17.50 per Hour
    • Cook / Carver $15.00 per Hour

Special Dietary Requirements

Please contact Food Service if your guest requires any special dietary needs.


Equipment
Equipment rental is available. A cash deposit or account number in good standing is required at the time of pickup. A completed rental agreement is also required. If any equipment is damaged or not returned, a replacement fee will be assessed to the individual or organization responsible.


Billing

All Food Service requests must include the 17-digit account number. We cannot process your request without it.
Payment in full or the departmental accounting number is required before the event. All invoice billing will be done on the 15th and last days of the month.


Cancellation Policy
Food and labor costs incurred will be charged to the requester if cancellation of an event is not made at least 24 hours before the event. Please advise your staff of this important deadline.    


Short-Notice Policy
We realize that there are times when you will need our services on short notice.
We truly want to assist you, but additional charges may be incurred if adequate notice is not given.


Count Guarantee
A final guest count is required five working days before the event, unless the menu states otherwise. You will be billed for this final guarantee or the actual attendance, whichever is greater. If the guarantee is not provided, your last estimate will be your guarantee count. A guarantee number may not be decreased on the day of your event.


Final Proof
After you and the Catering Manager have agreed to the details of your event, a copy of the function sheet indicating all the amenities agreed upon will be provided to you via e-mail.  The function sheet will serve as your confirmation for your event.
